Agreement Between Timber Pines Community Association (TPCA) and Timber Pines Pickleball Club, Inc. (TPPCI)

Background: The Pickleball and Recreational Center (PARC) is a TPCA amenity. To date, TPPCI has managed the scheduling of pickleball play on those courts. While there were up to four courts available for reservation by non-TPPCI members through the Jonas system, those individuals were not able to see or sign up to play on the open courts not in the Jonas system. The following constitutes an agreement for opening all PARC pickleball courts that are not reserved for TPPCI scheduled events to all residents of Timber Pines.

TPCA and TPPCI have agreed to the following for the remainder of calendar year 2024 and calendar year 2025.

  1. The Pickleball Den scheduling system will be open to all residents of Timber Pines.
  2. No membership in TPPCI will be required and no fee will be charged to non-members to use the Pickleball Den, but residents who are not members of TPPCI will only be able to see (and reserve) play time on open courts.
  3. Any resident requesting access to the Pickleball Den will be provided an application. An account will be created in the Pickleball Den, allowing them to schedule open court time without a requirement to join TPPCI.
  4. Information regarding how to access the scheduling system for pickleball courts will be made available during the orientation of new residents.
  5. A link to the TPCA application will be placed on the Timber Pines website.
  6. The General Manager will tape a segment of TPNN explaining the process.
  7. Scheduling of the courts will be the responsibility of TPPCI’s Pickleball Den Administrator and communicated to the TPCA Director of Operations.
    • Non-TPPCI members may submit scheduling requests for Village and League play on multiple courts to TPCA Administration (Member Services) staff who will communicate those requests to the TPPCI scheduling committee.
    • The Courts behind the RAC will remain in the Jonas system.
  8. TPPCI will have regular reserved times for their scheduled events that are not available to non-TPPCI members. Examples:
    • Next Paddle-up
    • Men’s Day
    • Ladies’ Day
    • Wednesday ABCD Round Robin
    • Lessons and Clinics
    • Special Events, e.g., Tournaments, Special Olympics Training, etc.
  9. TPPCI will have the exclusive right to use Courts 1-12 from 9AM – 11AM daily. If during certain times of the year, all courts are not required for use by TPPCI members, some courts may be released for open play to non-TPPCI members, as mutually agreed upon between TPPCI and TPCA.
  10. TPCA Administration will be granted access to provide oversight of the scheduling in the Pickleball Den.
  11. Training on the Pickleball Den will be provided by TPPCI to Administrative (Member Services) staff.

Following an agreement between TPCA and TPPCI, each party will publicly state that they are satisfied with the agreement. Once the agreement has been voted on and approved by the TPCA Board and approved by the TPPCI Board, Michael Fay will announce the agreement in the Friday Flash and the Pickleball Club will electronically inform their members of the same.

The current Pickleball Den contract runs through the end of calendar year 2025. Prior to negotiating a new contract with Pickleball Den, TPPCI agrees to meet with TPCA Administration to review all available system options to see if there is a better pickleball scheduling system available.

Both TPCA and TPPCI will monitor the agreement through 2024 and 2025 to evaluate the efficacy of the system. Both TPPCI and TPCA agree to resolve any issues that may arise promptly and in good faith. Future scheduling issues will be dealt with by TPPCI and TPCA Administration.
